Make your message easier to act on
Compare an unclear draft with two useful alternatives and understand what each change does for the reader.
A response can contain correct Finnish and still leave out the information its reader needs. These comparisons help you check the purpose of a message before polishing individual endings. Each one uses a selected task from our writing practice.
Read the brief, notice what is missing from the first draft, then compare the alternatives. They show different ways to communicate the same purpose. Work through the explanations at your own pace and apply the checks to your own response.
Cancel lunch and make a new plan
You need to cancel lunch with a friend. Explain why and suggest another time. The friend should be able to tell which plan is changing and answer your suggestion.
A draft with missing information
This short draft was written for comparison. It is not a learner submission.
Moi! En tule. Minulla on kiire. Nähdään joskus!Hi! I am not coming. I am busy. See you sometime!
The friend learns that something is cancelled, but the message does not identify the lunch or propose a time they can accept. Joskus leaves the next step uncertain. A longer explanation of being busy would not solve that missing information.
A direct suggestion
Moi! En pääse tänään lounaalle, koska minun täytyy jäädä töihin. Sopiiko sinulle huomenna kello 12 samassa kahvilassa? Harmi, että suunnitelma muuttuu näin myöhään!English meaning
Hi! I cannot make lunch today because I need to stay at work. Would tomorrow at 12 in the same café suit you? It is a shame the plan is changing so late!
- Tänään lounaalle identifies the arrangement.
- Koska gives a brief reason, and minun täytyy explains the obligation.
- Huomenna kello 12 gives the friend a specific proposal to answer.
An alternative when tomorrow is uncertain
Moi! Joudun perumaan tämän päivän lounaan työasian vuoksi. Voisimmeko tavata perjantaina yhden aikaan? Jos se ei sovi, ehdota sinulle sopivaa päivää. Olisi mukava nähdä pian.English meaning
Hi! I need to cancel today's lunch because of a work matter. Could we meet on Friday around one? If that does not suit you, suggest a day that works for you. It would be nice to see you soon.
- The reason stays short and relevant.
- Voisimmeko makes a concrete suggestion without assuming the friend is available.
- The final invitation gives the friend an alternative action if Friday does not work.
Check your own response
- I identified the lunch I am cancelling.
- I gave a brief reason.
- I suggested an actual day or time.

Describe a problem so maintenance can act
Write to the property manager or maintenance company about a problem in the building. Explain where the problem is and ask for a repair. Include details that help the recipient understand the next action.
A draft with missing information
This short draft was written for comparison. It is not a learner submission.
Hei! Talossa on ongelma. Valo ei toimi. Korjatkaa se.Hello! There is a problem in the building. A light does not work. Fix it.
The recipient cannot locate the light. The request names an action, but the missing place makes it difficult to carry out. Adding an address, floor and useful time detail improves the message more than replacing simple words with difficult ones.
Report the location and duration
Hei! Asun osoitteessa Koivukatu 8. Toisen kerroksen käytävän valo ei ole toiminut maanantaista lähtien. Voisitteko lähettää huoltajan tarkistamaan sen? Voin antaa lisätietoja sähköpostitse. Kiitos avusta!English meaning
Hello! I live at Koivukatu 8. The light in the second floor corridor has not worked since Monday. Could you send a maintenance worker to check it? I can provide more information by email. Thank you for your help!
- The address and floor locate the problem.
- Ei ole toiminut maanantaista lähtien connects the earlier problem to the present.
- The conditional question asks for a specific action.
Ask what happens next
Hei! Koivukatu 8:n toisessa kerroksessa käytävän valo on pimeänä. Huomasin vian maanantaina, eikä valo toimi vieläkään. Pyydän, että vika tarkistetaan. Voisitteko ilmoittaa, milloin huoltaja pääsee paikalle? Ystävällisin terveisin, AinoEnglish meaning
Hello! The corridor light on the second floor of Koivukatu 8 is out. I noticed the fault on Monday, and the light still does not work. I ask that the fault be checked. Could you let me know when a maintenance worker can come? Kind regards, Aino
- Huomasin gives the past observation; ei toimi describes the current situation.
- Pyydän, että makes the repair request explicit.
- The last question tells the recipient what information to send back.
Check your own response
- The recipient can locate the problem.
- I described what is wrong without adding unsupported causes.
- I asked for a repair or a useful next response.

Support a transport opinion with a reason
Give your view on whether cities should give more priority to public transport than driving. Explain why and acknowledge a practical limitation if it helps your argument.
A draft with missing information
This short draft was written for comparison. It is not a learner submission.
Julkinen liikenne on hyvä. Sitä pitää olla enemmän, koska se on hyvä. Autoilu on huono asia.Public transport is good. There should be more of it because it is good. Driving is a bad thing.
The position is visible, but the reason repeats the claim. The reader does not learn what problem the proposal solves or whom it helps. Calling the other option bad does not develop the argument. A concrete example would make the view easier to understand.
Explain a practical benefit
Mielestäni kaupunkien pitäisi panostaa enemmän joukkoliikenteeseen. Esimerkiksi iltavuorossa työskentelevän on vaikea päästä kotiin, jos viimeinen bussi lähtee liian aikaisin. Vaikka auto on joillekin välttämätön, toimiva bussiliikenne antaisi useammalle mahdollisuuden liikkua ilman omaa autoa.English meaning
In my opinion, cities should invest more in public transport. For example, someone working an evening shift has difficulty getting home if the last bus leaves too early. Although a car is essential for some people, a functioning bus service would give more people the possibility of travelling without their own car.
- The first sentence answers the question directly.
- The evening shift example gives a specific reason.
- Vaikka acknowledges a limitation while retaining the main position.
Support a more qualified position
Kannatan joukkoliikenteen kehittämistä, mutta kaupungin eri alueet on otettava huomioon. Keskustassa tiheät bussivuorot voivat helpottaa arkea. Kauempana asuva saattaa silti tarvita autoa. Siksi parantaisin ensin yhteyksiä alueilta, joilta työpaikoille pääseminen on hankalaa.English meaning
I support developing public transport, but different parts of the city need to be considered. Frequent buses in the centre can make everyday life easier. Someone living farther away may still need a car. Therefore, I would first improve connections from areas where reaching workplaces is difficult.
- The response states support and then qualifies it by location.
- Voi and saattaa present possibilities without inventing statistics.
- Siksi connects the final proposal to the reasons already given.
Check your own response
- I stated my own view.
- My reason adds information rather than repeating the view.
- My conclusion follows from the example or reason I gave.
These are short examples of different ways to communicate. They are not graded answers. Follow the length and instructions of your own task, and use your own details.
Use the comparison with your own writing
- Write your response before opening the alternatives.
- Underline the sentence that gives the reader the main information.
- Check whether the reader knows what to do or understand next.
- Revise one unclear part, then read the whole message again. Keep the wording natural for its recipient.
